Extended School Closure Plan

Introduction

In preparation for the upcoming school closure announced on March 12, the Shaker Heights City School District has prepared an extended closure plan. This plan is divided by grades PreK-4 and grades 5-12 and includes: 

  • Three levels of closures based on the anticipated length of the closure
  • Information about instruction, virtual learning plans and expectations, special education services and testing schedules

On Monday, March 16 we currently expect to be operating on Level 1 status. By Wednesday, March 18, we expect to be operating on Level 2 status, which includes the distribution of meals for students who are eligible for free/reduced meals. We will assess the need to move to Level 3 status if the current school closure time frame is extended.

This plan will continue to be refined as additional information becomes available and as we continue work on logistics of the various plan components. 

Grades PreK-4

Level One

Students 
  • Do not report
  • No at-home instruction

Teachers

  • In-building or virtual staff professional day
  • Regular staff absence rules and policies apply
  • Normal email/communication practices
  • Work time dedicated to curricular preparations for extended school closure
  • Collaborative work by building grade-level teams/departments is encouraged
  • Teacher meetings, as determined by buildings
  • Staff access email at least twice daily (once before noon, once before 3:30 p.m.)

Non-Teaching Staff

  • Please contact Human Resources for specific information. 

Level Two

Students 
  • Do not report
  • Resources provided for activities and online programs that extend/support previous learning
  • Meals distributed to students who need them

Teachers

  • Working remotely, except for identified essential staff
  • Regular staff absence rules and policies apply 
  • Staff access email at least twice daily (once before noon, once before 3:30 p.m.)
  • Work time for classroom and specials teachers is dedicated to preparing lessons and materials for extended school closure (work by grade-level teams is encouraged); participating in professional learning regarding distance learning; participating as needed in IEP meetings, ETR activities and meetings, 504 meetings and communicating with families
  • Teachers or teacher teams check in with each student or family at least once per week.

Special Education Staff

  • Complete ETRs, hold IEP and 504 plan meetings via virtual meetings

Non-Teaching Staff

  • Please contact your building principal or immediate supervisor for specific information.
     

Level Three

Students
  • Required to work daily at home
  • Instructions for classroom and specials will include:
    • PreK: Instructional packets provided to students. Family check-in twice weekly with classroom teacher/team. 
    • Grades K-4: Devices provided; distance instruction incorporated into Google Classroom (Google Sites is also an option especially for K-1, and Google Classroom is preferred). 
  • State testing schedules and requirements TBD
  • Meals distributed to students who need them

Teachers

  • Working remotely, except for identified essential staff
  • Regular staff absence rules and policies apply
  • Grade-level teams, subject area departments and/or teachers  connect with students and provide distance instruction both synchronously and asynchronously. This includes offering times when the teacher is available to communicate directly with students, either individually or in a group. 
  • Provide 1-2 hours of daily instructions (video lessons, Google Meet, assignments either synchronously and/or asynchronously) on new content. 
  • Teachers and/or teams maintain regular contact with families and students via email, phone, video conferencing and other distance learning tools. A minimum of twice weekly contact is optimal.
  • Teachers grade materials, provides student feedback and record grades
  • Participate in virtual CPT Meetings, staff meetings and other collaborative sessions at least once per week.
  • Staff access email at least twice daily (once before noon, once before 3:30 p.m.)

Special Education Staff

  • Intervention Specialists and Related Services Providers will schedule and provide specially designed instruction and related services remotely at scheduled times, consistent with student IEPs. Services will be scheduled around student needs. Meet IEP, ETR and 504 requirements, must document services provided, scheduled time to call/virtual meeting with Intervention Specialist and/or Related Services Provider.
  • Staff required to participate in virtual IEP, ETR and 504 meetings

Grades 5-12

Level One

Students
  • Do not report
  • No at-home instruction

Teachers

Level Two

Students
  • Do not report.
  • Opportunity to complete third-quarter work assigned up to 3/13/2020 without penalty.
  • Deadline to complete third-quarter work extended to 4/3/2020.
  • Teacher resources available for students.
  • Meals distributed to students who need them

Teachers

  • Working remotely, except for identified essential staff
  • Regular staff absence rules and policies apply 
  • Teachers prepare lessons and materials for distance learning (Level 3) or for return to classroom instruction
  • Teachers maintain a schedule of virtual office hours at least two times per week for students
  • Teachers or teams should check in directly by video call or by email with each student or family, at least once per week
  • Teachers grade materials, provides student feedback and enter grades in ProgressBook
  • Staff required to participate in virtual IEP, ETR and 504 meetings as needed
  • Staff access email at least twice daily (once before noon, once before 3:30 p.m.

Non-Teaching Staff

Level Three

Students
  • Full instruction continues at home as virtual school. Students log in for classes on a rotating schedule. Required to work daily at home
  • IB, AP, State testing schedules and requirements TBD
  • Attendance taken by teacher daily
  • Meals distributed to students who need them

Teachers

  • Working remotely, except for identified essential staff
  • Regular staff absence rules and policies apply
  • Teachers plan at least the next 1-2 units (or one month of lessons); courses would include work for online and non-online resources; differentiation based on student levels; one assessment per month (if teaching more than one unit); longer-term scaffolded projects
  • Teachers or teams should check in directly by video call or by email with each student or family, at least twice per week
  • Teachers maintain daily office hours for students to schedule a virtual check-in
  • Teachers grade materials, provides student feedback and enter grades in ProgressBook
  • Student/parent follow up for attendance and academic performance concerns
  • Staff access email at least twice daily (once before noon, once before 3:30 p.m.)

Special Education Staff
